The following 34 minute video shows how I use ClubScheduler and our FreeToastHost club website for my weekly Vice President of Education process that:

  • Reconciles what actually happened at the meeting vs plan, adjusting for who actually filled which roles
  • Schedules role assignments for upcoming meetings
  • Adds new meetings and role assignments to our Club Website
  • Discusses how I come up with meeting themes and manage the process of assigning them.

Caveats, mistakes, etc:

  • I recorded this video while actually doing my weekly process, to train my successor. 
  • It is not perfect!  It does have a few minor mistakes e.g.
    • At one point I refer to the ClubScheduler member progress chart as a sign-up sheet.
    • For the new meeting I added, I used the wrong year.  I did correct that later, but not on the video.
  • The "AllianceTexas Toastmasters" club I was processing is tiny, 6-7 members at the time. 
    • ClubScheduler wants to assign one person to just one role. 
    • Consequently I had to do a lot of manual adjustments to double and triple up on roles per person. 
    • With 12-15+ member in your club, most/all that manual adjusting goes away.
  • You can speed up the video watching considerably using MySpeed software from Enounce.  
    • MySpeed lets you control playback speed of streaming flash video anywhere from 1/3x to 5x normal speed without any "chipmonk effect". 
    • I find 1.5x normal speed sounds very normal and will cut 20 minutes off a 60 minute video. 
    • My "sweet spot" is around 2-2.5x normal speed, which cuts my video viewing time in half.
